Set up email on your device
This guide explains how to add your email account to the mail app on your computer or phone, so you can send and receive messages from it. Each app is covered step by step, with the exact settings to enter. No prior experience is required.
SimploMail does not store your emails forever. Once an email is downloaded to your device, it is eventually removed from our server. This guide walks you through setting up your existing email app so you can send and receive emails from your SimploMail account.
First, choose how you want your mail
There are two ways to set up your account. Pick the one that fits how you read your email, then follow only that section, you can ignore the other one.
What you'll need before you start
- Your full email address, for example
you@yourdomain.com(include the part after the@). - Your password, the one that was set when the account was created.
Wherever an app asks for a username, enter your full email address. The outgoing (sending) server is the same for both setups:

Some apps call the outgoing sign-in “authentication” or “sign-in required”; leave it turned on and use the same email address and password.
Option 1: POP (Remove from server after download)
This setup uses the POP protocol, which downloads each message to your device and then removes it from the server. Set the account type to POP and use these incoming settings.
Please read this before you start. Because each message is deleted from the server as soon as it is downloaded:
- Set the account up on one device only. Whichever device downloads a message first gets it, and no other device will ever see it.
- Once downloaded, the only copy is on that device. If the device is lost or reset, the mail cannot be recovered from the server, so keep your own backups if the messages matter.
- If you would rather have your mail available on several devices at once, use Option 2: IMAP (Keep on all my devices) instead.

Choosing POP is only half of it. Each app also has a separate setting that tells it to delete messages from the server after download. Turning that on is what actually stops SimploMail from keeping your mail. The steps below show exactly where that setting is in each app.
Apps that can delete mail from the server:
iPhone & iPad (Apple Mail)
- Open the Settings app, scroll to Mail, then tap Mail Accounts → Add Account.
- Enter your full email address, then tap Next (or Continue).
- From the list of providers, tap Mail Account (near the bottom — this is the manual option for addresses that aren't iCloud, Google, and so on).
- Enter your name, confirm your full email address, enter your password, and add an optional description. Tap Next.
- At the top of the next screen, select POP (not IMAP).
- Under Incoming Mail Server, enter host name
mail.app.simplomail.com, your full email address as the user name, and your password. - Under Outgoing Mail Server, enter host name
mail.app.simplomail.comwith the same user name and password. (These are labelled “optional” on iPhone, but fill them in.) - Tap Save. Your iPhone verifies the settings.
- Now turn on delete-from-server. Go back to Settings → Mail → Accounts, tap this account, tap it again to open its details, then tap Advanced.
- Under Delete from server, choose When removed from Inbox (or Seven days if you want a short grace period). This makes each message leave the server after your iPhone has it. On the same screen, confirm Use SSL is on and the Server Port is
995.
Android (Samsung Email)
These steps use the Samsung Email app that comes with Galaxy phones. Other Android apps that support POP (such as FairEmail or K-9 Mail) follow the same idea: add the account as POP3, then turn on the delete-from-server option.
- Open the Email app. If you already have an account, tap the menu (three lines, top-left), tap the gear/settings icon, then Add account.
- Enter your full email address and password, then tap Manual setup (not the automatic option).
- When asked for the account type, choose POP3 account.
- Set the Incoming server to
mail.app.simplomail.com,Security type to SSL/TLS, and Port to995. Use your full email address as the user name and your mailbox password. - Set the Outgoing (SMTP) server to
mail.app.simplomail.com, security SSL/TLS, port465, with the same user name and password. Tap Sign in. - After the account is added, turn on delete-from-server. Tap the menu (three lines) → gear/settings → tap this account → Server settings.
- Find Delete emails from server and set it so mail is removed after it is received (for example When I delete from Inbox). Save.
Outlook (computer only)
Use classic Outlook on a Windows PC or Mac. The Outlook mobile app and the newer “new Outlook” do not offer a POP account with the delete-from-server option, so they can't be used for this. See the list of apps that can't delete mail below.
- Open Outlook and go to File → Add Account.
- Type your full email address, then click Advanced options and tick “Let me set up my account manually”. Click Connect.
- When asked to choose an account type, select POP.
- Enter the server details: incoming
mail.app.simplomail.comport995SSL/TLS; outgoingmail.app.simplomail.comport465SSL/TLS. Enter your mailbox password and click Connect, then Done. - Now turn on delete-from-server. Go to File → Account Settings → Account Settings, select the account, click Change → More Settings → Advanced.
- Under Delivery, uncheck “Leave a copy of messages on the server.” With it unchecked, Outlook removes each message from the server after download. Click OK, then Next and Finish.
Prefer a short grace period? Instead of unchecking the box, leave it ticked and enable “Remove from server after N days” with a small number. Unchecking it entirely deletes as soon as the message is downloaded.
Apps that can't delete mail from the server
Two popular phone apps cannot delete mail after download, because they don't offer a POP account with that option:
- The Gmail app (Android & iPhone) can only add outside addresses over IMAP, never POP, so it has no delete-from-server setting.
- The Outlook mobile app does not support POP on iPhone/iPad, and on Android its setup only offers IMAP.
If you use one of these, either set the account up with a POP-capable app from the list above (Apple Mail, Samsung Email, or classic Outlook on a computer), or choose Option 2: IMAP (Keep on all my devices) instead.
Option 2: IMAP (Keep on all my devices)
This setup uses the IMAP protocol. IMAP keeps your messages on the server and syncs them to every device you add, so you can read the same mailbox on your phone, laptop, and in webmail. Because the server stays the source of truth, nothing is deleted from the server on download, that is the trade-off for having your mail everywhere.

Pick your app:
iPhone & iPad (Apple Mail)
- Open Settings → Mail → Mail Accounts → Add Account.
- Enter your full email address, then tap Next (or Continue).
- From the list of providers, tap Mail Account (near the bottom — the manual option for addresses that aren't iCloud, Google, and so on).
- Enter your name, confirm your full email address, enter your password, and add an optional description. Tap Next.
- Make sure IMAP is selected at the top.
- Under Incoming Mail Server, enter host name

mail.app.simplomail.comwith the same user name and password. - Tap Next, let it verify, then tap Save.
Apple Mail uses SSL and the secure ports (993 incoming, 465 outgoing) by default. If verification fails, open the account and confirm Use SSL is on for both servers.
Gmail app (Android & iPhone)
- Open the Gmail app. Tap your profile picture (top-right), then Add another account.
- Choose Other as the account type.
- Enter your full email address and tap Next, then choose Personal (IMAP).
- Enter your mailbox password and tap Next.
- Incoming server: set the server to
mail.app.simplomail.com, security SSL/TLS, port993. Tap Next. - Outgoing server: set the SMTP server to
mail.app.simplomail.com, keep “Require sign-in” on, security SSL/TLS, port465. Tap Next. - Name the account if you like, then tap Done.
Outlook (computer & app)
On a computer, use classic Outlook. On a phone, the Outlook app works for IMAP.
- Start Add Account (on desktop: File → Add Account; in the app: profile → settings → Add Mail Account).
- Enter your full email address. On desktop, tick “Let me set up my account manually” under Advanced options, then Connect.
- When asked for the account type, choose IMAP.
- Incoming (IMAP): server

mail.app.simplomail.com, port465, SSL/TLS. - Enter your mailbox password and finish. Your mail begins to download.
Android (Samsung Email)
- Open the Email app and start Add account.
- Enter your full email address and password, then tap Manual setup.
- Choose IMAP account.
- Incoming server

mail.app.simplomail.com, security SSL/TLS, port465, with the same user name and password. Tap Sign in.
If something doesn't work
- “Cannot verify account” or “wrong password.” Check that the username is your full email address and the password matches the one set when the account was created.
- Can receive but can't send. This is almost always the outgoing (SMTP) server. Make sure it's
mail.app.simplomail.comon port465with SSL, and that sign-in is turned on using the same email and password. - (POP) Messages still stay on the server. Choosing POP is not enough on its own, the delete option is separate. Recheck it: in Apple Mail set Delete from server; in Samsung Email set Delete emails from server; in Outlook uncheck Leave a copy of messages on the server.
- (POP) A message only arrived on one device. That is expected: the first device to download a message removes it from the server, so a second device never sees it. If you want mail everywhere, use IMAP instead.
- Can't connect on the incoming port. Use
995for POP or993for IMAP, both with SSL/TLS. Unencrypted ports are not offered, so always keep security set to SSL/TLS.
